On Avail ("On Avail," "we," "us") is a career-tracking tool for performers and other entertainment-industry professionals — submissions, auditions, income, expenses, training, and contacts, in one place. We use a small number of service providers to operate On Avail, each processing information only as needed to provide its service, under its own agreements and privacy practices:
Beyond these providers, we may disclose information if required by law or legal process, to protect the rights, safety, or property of On Avail or others or to investigate fraud or abuse, when you direct us to share it, or in connection with a merger, acquisition, or sale of the business (in which case we'll require your information to stay protected under terms consistent with this policy).
Use of AI features is optional. Features like AI Auto-Fill, Smart Import, the union-payment importer, receipt auto-fill, and "Research this person" send only the specific text or image you provide (a pasted casting listing, a spreadsheet row, a receipt photo, a contact's name) — plus the instructions needed to perform that request — to Anthropic's Claude API. That request is made through On Avail's own secure connection — you never need your own AI account or API key. We send only what's needed to perform that specific action, not your full account data.
Under Anthropic's standard commercial API practices as of this policy's effective date, content sent to the API is not used to train Anthropic's models by default and is generally deleted from Anthropic's systems within about 30 days, subject to contractual, safety, and legal exceptions. Some of these features (such as "Research this person") may involve information about people other than you and may draw on publicly available information; only submit what you're comfortable processing this way. AI-generated results are drafts you can review and correct before saving.
Subscriptions are billed through Stripe, a PCI-compliant payment processor. Stripe collects and stores your payment details directly; On Avail receives only what's needed to manage your subscription (such as whether you're currently paid up), never your full card number.
If you were referred to On Avail by a promotional partner (such as a studio, school, or casting director), Stripe also handles calculating and paying that partner's share automatically. That partner receives only the information needed to calculate and pay their share — not the contents of your account. See our Terms of Service for how that program works.
The On Avail Quick Import extension has one purpose: helping you move audition or casting information from a page you choose into On Avail. It does nothing until you click it — it does not run in the background, does not track your browsing, and does not read any page you haven't clicked it on.
The extension uses Chrome's activeTab, scripting, and storage permissions. When you click it, it reads up to about 6,000 characters of the visible text of the active page and opens On Avail with that text, so AI Auto-Fill can run on it. The storage permission holds only the identifier of the On Avail browser tab the extension is using, for the current browser session, so that repeat clicks reuse that tab instead of opening a new one; it stores no page text or browsing data. This occurs locally on your device. The extension does not transmit the page text, URL, browsing history, cookies, passwords, or authentication information to On Avail or a third party. Information reaches On Avail and Anthropic only if you paste it into the web app and submit an AI import request.
On Avail's use and transfer of information received through Chrome extension permissions complies with the Chrome Web Store User Data Policy, including its Limited Use requirements. We use this information only to provide the extension's disclosed single purpose — helping you import listing text into On Avail — and we do not sell it or use or transfer it for advertising, creditworthiness, lending, or any unrelated purpose. No human reads the page text; it goes only to your clipboard on your own device.
Your data is stored in a secured cloud database (Supabase). We protect it with measures including encryption in transit (HTTPS/TLS), Supabase row-level access controls that keep every user's data separate — so no user can see another user's information — and restricted administrative access. No system is 100% immune to risk; in the event of a data breach affecting your information, we will provide notice as required by applicable law.
On Avail is operated by Marburger Consulting LLC through its owner. The operator may access specific account information only when you request support, when reasonably necessary to investigate a security issue or abuse, or when required by law. On Avail does not routinely review the contents of user accounts.
We keep your data for as long as your account is active, since career and tax records are often needed for several years. We generally process verified account-deletion requests within 30 days; deletion covers your account records and uploaded files in our active systems. Limited information may remain temporarily in security logs, in provider-managed backups, or in records we must retain for legal, tax, fraud-prevention, or dispute-resolution purposes; backup copies are removed or overwritten on our service providers' retention schedules and are not used for ordinary business purposes. Content you send to AI features is retained by Anthropic on our behalf only briefly, as described in AI features above.
Wherever you live, you can reach us at the address below to ask about the personal information we hold about you, to correct it, or to have it deleted, and we'll respond as required by the laws that apply to you.
On Avail is currently offered only to individuals whose primary residence is in the United States, and all amounts are recorded in U.S. dollars. It is not offered or marketed to residents of other countries. A U.S.-based subscriber may access On Avail while temporarily traveling or working outside the United States, subject to applicable law.
Your information is stored and processed in the United States. Our service providers (Supabase, Anthropic, Stripe, Vercel, and Cloudflare) are U.S.-based, though they may operate global systems in the course of providing their services.
You must be at least 18 years old to create and control an On Avail account. A parent or legal guardian may use an adult-controlled account to maintain career information about their minor child. Minors may not independently create or control an account. We don't knowingly collect personal information directly from children; a young performer's career data entered by a parent or guardian is treated the same as any other account data under this policy.
On Avail uses only the minimum technical storage needed to keep you signed in and remember your preferences (like which tabs you've chosen to show). We don't use third-party advertising or tracking cookies. Because On Avail does not engage in cross-site behavioral tracking, it does not respond differently to browser "Do Not Track" signals.
On Avail is a record-keeping tool. Nothing in the app — including income totals, expense categories, or any calculated figures — constitutes legal, tax, or financial advice. Always confirm your own tax and legal obligations with a qualified professional.
If we make material changes to this policy, we'll update the effective date above and, for significant changes, let you know via email or an in-app notice.
